Polaris ITIN Services helps individuals living in Denmark, Norway, Sweden and Finland apply for a US Individual Taxpayer Identification Number (ITIN). We handle the Certifying Acceptance Agent portion of the application: Form W-7 preparation, identity document authentication, and direct submission to the IRS.
If you receive income from US sources, file a US tax return, or need an ITIN for any valid US federal tax purpose, write to us and we will let you know whether we can help.

The service
We handle ITIN applications under the IRS Certifying Acceptance Agent programme. This means we verify your identity documents locally, so your original passport does not need to be sent to the IRS in the United States.
We do not prepare US tax returns, provide tax advice, or offer immigration or legal advice. Where a US tax return is required as part of your application, this would need to be provided by your existing US tax advisers.
The initial consultation is free. If we are able to assist, we will confirm this in writing along with a fixed fee before any work begins.

Common questions
An Individual Taxpayer Identification Number (ITIN) is a tax identification number issued by the IRS to individuals who have a US federal tax obligation but are not eligible for a Social Security Number. It is used for federal tax purposes only.
Common situations where a Nordic resident may need an ITIN include receiving US dividends, pension distributions, rental income or royalties where an ITIN is specifically required for US reporting, withholding or return-filing purposes; filing a US federal tax return; or being included as a spouse or dependent on a US return.
Not when applying through a Certifying Acceptance Agent. For most adult applicants applying with a passport, we verify it locally so the original does not need to be sent to the IRS. Different documentation rules may apply to dependants and to other types of identification.
The IRS advises allowing approximately 7 weeks for most applications, and 9 to 11 weeks for applications submitted from abroad or during the 15 January to 30 April peak filing period. All Nordic applicants submit from abroad, so the 9 to 11 week band applies. The IRS sends an official notice to your mailing address and a copy to us. We will contact you through a secure channel as soon as we receive our copy.
Yes. For clients outside Copenhagen, we offer a courier-based process: you send your original passport to us by tracked courier, we carry out the verification by video while the document is in our hands, and return it to you immediately after. A short video session is required as part of this process.
Fees are fixed and agreed in writing before any work begins. The fee quoted covers Form W-7 preparation, identity document authentication, Form W-7-COA, and courier shipment of your application to the IRS in Austin, Texas. Indicative fees start from DKK 1,995. No VAT is currently charged. Payment is by bank transfer or Vipps and is due before work begins.
Write to us and we will confirm whether we can assist and what the fee would be for your situation.
